Overview
The Welcome Pack is designed to provide an automated process for issuing new owners an easy option to move to email delivery. The process involves establishing a predefined email template for repeated use. You then can submit data files as required to send that email template. At this point the system creates a User at the Sign Up status. The link on the email sent to them activates their account enabling them to receive emails in the future.
Here are a few key factors to note when sending Welcome Packs in the automated processing
Data File Requirements
Welcome Pack jobs must be submitted in a .csv file using this file structure
| Assessment Number |
Customer Name |
Email Address |
Address Line 1 |
Address Line 2 |
Address Line 3 |
Address Line
4 |
Note that is critical that the format of this data matches your print file format. For example if the notice to be issued at a later date has Mr S Smith on it, the Name line in the Welcome Pack must have this, not Sam Smith.
Proofing
You can click to view the email template in place as you load your data to ensure it is the correct type. After this there is no proofing of the email template, or approval stage on this job type. After your data is validated and submitted, the emails will start sending.
Extractions cannot be applied to Welcome Pack job types as there is no proofing step to confirm this. Please ensure your file only includes email addresses intended to receive the Welcome Email.
Timeliness
The engine checks for new queued (approved jobs) messages every 15 minutes, and then sends as required. The timing of your job to move to "Completed" depends on when in that 15 minute interval you submitted the job, and how many messages there are to send.
Notifications
If there is a processing error from an invalid file type you will be notified on the job prior to submission. The system will also report any errors with particular accounts after processing, reporting if they were not allocated an email. This is typically because the email address already exists.
