Overview
'Major agent' is the term generally used by Councils to describe notice recipients such as real estate agents that handle rental properties.
The major agents module is an additional package in eNotices that allows registrations to be managed automatically based on the information supplied in your data file.
The major agents module provides the following benefits:
- Registrations are added and removed from the profile based on the information supplied in your data file, without any manual intervention.
- Notices are supplied in a single compressed file attached to the email.
- Additional reporting of email deliveries and functions to download and resend emails.
Major agent profile
There is an additional profile with the type ‘Agent’. Agent profiles include an additional field of Agent Code. The Agent code is an alpha-numeric value, which is matched to the field supplied in your data file.
Any notices coded to this value in your data file will be automatically registered to the profile. Any accounts previously registered that are not coded in the current data file will be automatically deregistered.
Major Agent Code Matching and Maintenence
When creating a Major Agent, a Major Agent Code (MA code) is associated with the Major Agent User. This is the only time you need to update the Major Agent User in eNotices. The key item with this process is to keep your billing platform up to date. When making changes to council records when changes of ownership occur, update the property by adding or removing the relevant MA Code. This code is then provided to Forms Express as part of your job processing.
During job processing, all records are checked for a MA Code, and if they correspond to a Major Agent User, they will be allocated to their email. Matching occurs on each job, removing accounts no longer applicable, and adding new properties the agent requires.
Major Agent Emails
All notices for each submission are supplied in a single compressed file attached to the email. The file is compressed using the format ‘7zip’ and the individual notices can be extracted using the freeware 7zip utility.

eNotice Major Agent Delivery Preference
When allocating notices to a delivery method, a MA Code matching against a Major Agent User will take priority over a normal eNotice user. This means that should an owner be registered for eNotices, then a MA Code is added to the property in Councils software that matches a Major Agent User, the regular User will stop receiving the notice by email in preference for the Agent. This falls in line with their expectation the Major Agent should be receiving and managing the property on their behalf and avoids Council paying for two deliveries.
